Shifts filled without begging

Volunteer
sign-up sheet

List the shifts, say how many bodies each one needs, and share the link. Volunteers pick a slot that fits their day, and you can see the holes without counting replies.

Three steps, about a minute

1

Write out the shifts

Time windows work better than job titles. "Setup 8-10am" gets claimed faster than "help with setup."

2

Say how many spots

Three for setup, two for the front table. People can see a shift is thin and step in where it matters.

3

Share and watch it fill

Send the link to your parent list or committee. Open shifts stay visible so you know what to ask for.

Why coordinators keep it

Spots, not guesswork

A shift that needs four people says four. Nobody wonders whether they are the only one who signed up.

Reminders before the day

Volunteers get a nudge ahead of their shift, so you are not sending individual texts the night before.

Signs up in two taps

Most people will claim a shift from a phone between meetings. No account, no password reset.

Questions

How do I make a volunteer sign-up sheet?

Create a Pip, choose the sign-up list, and add one row per shift with the time window in the row name. Set the number of spots per shift, then share the link with your volunteer list. Volunteers claim a shift with a name and an email or phone.

How should I break up shifts so people actually sign up?

Two-hour blocks with a clear start time get claimed most often. Split anything longer, name the job in the row, and keep the total number of shifts short enough to scan on a phone.

Can more than one person sign up for the same shift?

Yes. Set the number of spots on each shift and Pip lets that many people claim it before it shows as full.

Do volunteers need an account?

No. They open the link, add a name and an email or phone, and pick a shift. An account is only needed if they want to create their own sign-ups later.

Can I remind volunteers about their shift?

Yes. Pip can send reminders before the event so people who signed up weeks ago do not forget the day they picked.

Can I keep the volunteer list private?

Yes. Keep it link-only so only people you send it to can open it, or add a passcode for a closed group like a PTO board.
